The three assumptions start at 5%, 20% and 10%: placeholders kept low on purpose, not measured results or industry figures. Replace them with your own estimate.

How to estimate a configurator's ROI

Add what a configurator saves and earns from your own baseline, then set it against what it costs. Five steps, and what this calculator does with each.

  1. 01Start from your own baseline

Quote volume, conversion, the hours a quote takes and what an hour costs, and how often an order comes back wrong. These are facts about your business; pull them from your CRM, ERP or a month of records.

This tool: seven inputs for your baseline. The example figures are placeholders to replace.

  2. 02Estimate the quote time saved

A configurator that prices and validates a product lets the buyer, or your sales team, produce a quote without a back-and-forth. How much of the current time disappears depends on how much of it is spec-checking and pricing.

This tool: one percentage, applied to every quote.

  3. 03Estimate the conversion change

An instant price and a picture of the exact product can turn more quotes into orders. Treat it as the least certain number, and keep it small until you have measured it.

This tool: a relative lift on your current conversion, capped at 100%.

  4. 04Estimate the errors avoided

Rules in the configurator stop impossible combinations and mistyped dimensions before they reach production, so some returns and remakes never happen.

This tool: the share of your current returns and remakes avoided, at their average cost.

  5. 05Compare with what the configurator costs

Return on investment is the gain against the cost of the build, any subscription and the time to keep it up to date.

This tool: shows the gross gain only; it does not subtract a configurator price.

What a configurator build costs, to set against the estimate: see pricing.

02— Formulas

How this is calculated

Every figure in the result comes from one of these lines, in this order. Percentages are divided by 100 before they are multiplied.

Staff hours saved per month
quote requests per month × staff hours per quote × quote time saved %
Labor savings per month
staff hours saved × loaded staff cost per hour
Orders per month today
quote requests per month × quote-to-order conversion %
Conversion with a configurator
conversion % × (1 + conversion lift %), at most 100%
Extra orders per month
quote requests per month × (conversion with a configurator − conversion today)
Extra revenue per month
extra orders × average order value
Returns and remakes avoided per month
orders per month today × return or remake rate % × returns and remakes avoided % × average cost of a return or remake
Total per month
labor savings + extra revenue + returns and remakes avoided, each rounded to whole dollars
Total per year
total per month × 12

Gross: extra revenue is revenue, not profit, and the cost of the configurator is not subtracted. The three assumptions start at 5%, 20% and 10%: placeholders kept low on purpose, not measured results or industry figures. Replace them with your own estimate.

03— FAQ

Questions about the configurator ROI calculator.

What it does, what it leaves to you, and what it costs.

Add what it saves and earns in a month, labor on quotes, extra orders and avoided returns or remakes, then compare that with what the configurator costs to build and run. This calculator does the first part from your numbers and shows every formula; the comparison with a price is yours to make.

They are placeholders, chosen low on purpose: a 5% relative conversion lift, 20% of quote time saved and 10% of returns avoided. They are not measured results and not industry statistics. Replace them with your own estimate, ideally one you can measure later.

The cost of the configurator, your margin (extra revenue is revenue, not profit), the months it takes to roll out, staff time to keep products and prices current, larger orders from add-ons, and any change in traffic. It is a gross, steady-state monthly figure from the numbers you enter.

No. The calculation runs in your browser. Only if you ask for the emailed report are your numbers, email and company sent to SBFS: the server recalculates the figures, sends one email, and passes your email and company to the SBFS team so we can reply. No newsletter.

No. The full result and the formulas are on the page as you type. The emailed report is optional, sent once, and limited to a few per day.

Yes. Configure-price-quote software and a 3D product configurator change the same three things this calculator counts: time per quote, quote-to-order conversion and order errors. Only the assumptions you enter differ.

Enter your orders per month as quote requests and set conversion to 100%. Quote time saved then means order-handling time saved, and the conversion lift does nothing, since conversion cannot go above 100%.
